Your privacy matters to us. PL Equipment Rental LLC collects only the information necessary to process your rental, comply with legal requirements, and protect both parties in the event of a dispute. We never sell your data.
When you create an account or complete a booking, we collect: your full name, email address, phone number, delivery address, and company name (if applicable). Payment information is submitted directly to Stripe. PL Equipment Rental LLC never receives, sees, or stores your full card number, CVV, or expiration date. We also collect order details including equipment rented, rental period, pricing, and the date and time you accepted these terms and conditions. If you apply for tax exemption, we collect your reseller permit number and the supporting document you upload. We may also collect basic website usage data (pages visited, browser type, referring URL) through Google Analytics to improve our website.
We use your information to: process and fulfill rental orders; send booking confirmations, receipts, and order updates to your email; contact you regarding your rental, damage assessments, or account matters; verify tax exemption status; record and retain your agreement to our Terms and Conditions (including the timestamp) for legal and dispute resolution purposes; and improve our website and services. We do not sell, rent, or share your personal information with third parties for marketing purposes.
All payment processing is handled by Stripe, Inc., a PCI-DSS Level 1 compliant payment processor. When you complete a purchase, your card data is transmitted directly to Stripe's secure servers. Stripe tokenizes your payment method and may store it for future use (such as post-rental damage charges you authorize at checkout). PL Equipment Rental LLC receives only a token reference and the last four digits of your card. We never store full card numbers on our servers. When you check the agreement box at checkout and complete your booking, we record your acceptance of our Terms and Conditions with a timestamp. This record is stored in our order database and in the Stripe PaymentIntent metadata associated with your transaction. This information is retained to protect both parties in the event of a payment dispute or chargeback and constitutes evidence of your informed consent to our rental terms, damage policy, and payment authorization.
We use essential session cookies to maintain your login state and shopping cart. If Google Analytics is enabled on our site, anonymized usage data (pages viewed, session duration, device type) may be collected by Google. We do not use advertising cookies, retargeting pixels, or cross-site tracking. You can disable cookies in your browser settings, though some features (such as cart persistence and login) may not function correctly.
We send transactional emails including booking confirmations, order receipts, tax exemption notifications, and account-related messages using Resend (resend.com). These emails are sent to the address you provide at registration or checkout. We do not send unsolicited marketing emails. If you contact us via our website forms, we may reply to your message via email.
We use the following third-party services to operate our platform: Stripe (payment processing and card storage), Resend (transactional email delivery), Neon (PostgreSQL database hosting), Vercel (website hosting and deployment), and Google Analytics (anonymous website traffic analysis). Each of these providers has its own privacy policy governing how they handle data. We only share information with these providers to the extent necessary to operate our services.
We retain order records, customer accounts, and terms acceptance logs for a minimum of 7 years as required by Washington State business and tax regulations. If you wish to delete your account or request removal of your personal information (excluding legally required records), please contact us at info@plequipmentrental.com. Note that order records and terms acceptance timestamps cannot be deleted as they may be required for dispute resolution or regulatory compliance.
We take reasonable technical and organizational measures to protect your personal information against unauthorized access, loss, or misuse. Our website uses HTTPS encryption for all data in transit. Sensitive data such as payment credentials are handled exclusively by our PCI-compliant payment processor, Stripe. Access to customer data in our admin panel is restricted to authorized Company personnel only.
